Terms of service
These alpha terms have not yet been through an external legal review. They were written by the people who built the service and will be replaced by a reviewed version before the service opens to the public.
Last updated: 4 November 2026.
1. The service
RapidMailSync ("the service") imports mail from POP3 and IMAP mailboxes into a Gmail account, on your instruction. Accounts invited to the private alpha before paid plans began stay free of charge; every other account has the plan in section 4.
The service is provided by Secure Software Systems B.V. ("we", "us"), Chamber of Commerce (KvK) number 42168942, registered office Binnenhof 62C, 1412 LC Naarden, the Netherlands. These terms are the agreement between you and Secure Software Systems B.V.
2. Your account and your mailboxes
- You may only add mailboxes that you own or are explicitly authorised to access. You are responsible for the credentials you enter and for keeping them current.
- You may only connect a Gmail account that is yours. The service verifies that the Gmail account you connect belongs to the same Google identity you signed in with.
- You must not use the service to harvest, redistribute or spam, or to circumvent restrictions imposed by a mailbox provider.
3. What you should expect
- Imports are best-effort and may be delayed. Messages over 50 MB are skipped. Some messages may end up as ambiguous (imported at Gmail but unconfirmed); retrying them may create a duplicate, which is why a retry always asks you first.
- The service never modifies or deletes mail in Gmail. It never deletes mail from a mailbox unless you switch deleting after import on for a POP3 mailbox and confirm the consent text. If you do, deletion is irreversible in that mailbox; the copy in Gmail remains.
- You can pause, resume, edit or remove a mailbox, disconnect Gmail, export your data and delete your account at any time from the app.
4. Plans and payment
RapidMailSync costs €12 a year, including VAT. A new account can use it free for 7 days, without a card; after that, its mailboxes stop syncing until you subscribe — your mailboxes and settings are kept. A subscription renews every year until you cancel it. You can cancel at any time in the billing portal; the subscription then ends at the end of the year you paid for, without a refund for the rest of it. If a payment fails, Stripe tries again for a while; if it keeps failing, the subscription ends and syncing pauses. Deleting your account cancels your subscription at once, without a refund.
Right of withdrawal (consumers in the EU). You may withdraw from a subscription within 14 days of taking it out, without giving a reason, by writing to billing@rapidmailsync.com. Because the service starts at once at your request, withdrawing within those 14 days refunds the payment minus the part of the service already provided.
5. Alpha limitations, availability and changes
This is pre-release software. Features may change or be withdrawn, the service may be unavailable for maintenance, and the alpha may end at any time, in which case you will be told how to delete your data or it will be deleted for you after notice. During maintenance the app shows a banner and refuses changes, but export and account deletion keep working.
6. No warranty; limitation of liability
To the extent permitted by law the service is provided "as is", without warranty of any kind, and the provider is not liable for lost or duplicated messages, for mail deleted from a mailbox after you enabled deleting after import, for actions of Google or of your mailbox provider, or for indirect or consequential loss. Nothing in these terms limits liability that cannot be limited by law.
7. Suspension and termination
We may suspend or terminate an account that breaches these terms, endangers the service or other users, or triggers abuse complaints. You may terminate at any time by deleting your account; the privacy policy describes what happens to your data.
8. Privacy and security
The privacy policy and the security overview are part of these terms.
9. Changes to these terms
Changes will be announced in the app before they take effect. Continuing to use the service after that date means you accept the changed terms.
10. Governing law
These terms are governed by the law of the Netherlands, and disputes will be brought before the competent Dutch court. If you use the service as a consumer, this does not deprive you of the protection of mandatory rules of the country where you live.
