Contact support
E-mail support@rapidmailsync.com. We aim to answer every request within one to two working days.
To help us resolve it quickly, please include:
- the Google account (e-mail address) you sign in to RapidMailSync with;
- a short description of the question or problem, and which mailbox it concerns (its label is enough);
- any error message you see, or a screenshot of it.
Never send us a password. That includes mailbox passwords, app passwords, your Google or Microsoft password and sign-in codes. We will never ask for one: a password is only ever entered in the app itself.
For a security issue, write to security@rapidmailsync.com instead (see the security overview). For a question about your personal data, write to privacy@rapidmailsync.com (see the privacy policy).
Frequently asked questions
How does RapidMailSync work?
You sign in with Google, connect your Gmail account, and add a mailbox. From then on RapidMailSync checks that mailbox for new mail and adds each message to Gmail with its original date and headers, under a label you choose. New mail can also go to your Inbox, unread, as Gmail's own "Check mail from other accounts" did. Your mail is never stored: each message passes through memory once and is gone as soon as Gmail has accepted it.
Which mailboxes are supported?
- Any mailbox with POP3 or IMAP over TLS. Most mail providers, company mail servers and hosting packages offer one or both. Type the address and RapidMailSync fills in the server settings itself for most providers; you can always enter them yourself.
- Microsoft mailboxes (Outlook.com, Hotmail and Live addresses, and Microsoft 365 accounts where the organisation allows it) connect by signing in with Microsoft, because Microsoft no longer accepts passwords from other mail programs.
- Some providers do not accept your normal password from other mail programs and ask for an app password made in your account settings there. Where RapidMailSync knows this, the app tells you while you add the mailbox.
How often does RapidMailSync check for new mail?
As often as you choose, per mailbox: every 5, 10, 15, 30 or 60 minutes. For IMAP mailboxes whose server supports it, RapidMailSync also watches for new mail continuously, so it usually arrives in Gmail within seconds; the mailbox page shows which applies. Existing mail is imported in chunks of a few minutes each, so a full mailbox can take hours or days, also because Gmail limits how much may be added per day.
What should I do if my mail is not syncing?
Open the dashboard: a mailbox that needs attention says why. The most common causes:
- "Mailbox sign-in failed". The mailbox password was changed, or the provider wants an app password. Open the mailbox and choose Replace password. For a Microsoft mailbox, choose Sign in again with Microsoft.
- "Reconnect Gmail". Google withdrew RapidMailSync's access, usually after a Google password change or after it was removed under Google Account → Security → Third-party access. Reconnect Gmail on the dashboard; your mailboxes start again on their own.
- The mailbox is paused. Open it and choose Resume.
- Imported mail is not where you expect it. Mail from before you added the mailbox appears only under its label: search
label:followed by the label name in Gmail. Once the existing mail is imported, Gmail's spam filter applies to new messages, so also look in Spam. - Gmail is still fetching the same mailbox. If Gmail's own "Check mail from other accounts" still runs for it, the two compete for every new message. Switch Gmail's fetching off under Settings → Accounts in Gmail.
- A message is listed as "too large" or "ambiguous". Messages over 50 MB are not imported; move them by hand. An ambiguous message waits for your approval before it is tried again, because a retry can create a duplicate.
If none of these explains it, write to support@rapidmailsync.com with the mailbox's label and the message the dashboard shows.
How can I manage or cancel my subscription?
During the private alpha RapidMailSync is free: there is no subscription to manage and no payment details are asked for. To stop using it, pause or remove a mailbox on its page, or delete your account (see below).
Is my mail safe?
RapidMailSync is built so that it can do as little as possible with your data. The Gmail permission it asks for is write-only: it can add messages and create labels, and cannot read, search, change, send or delete anything already in your Gmail. Mail is never stored. Connections to mailboxes always use TLS. Mailbox passwords are encrypted before they are stored and can only be used for a sync. Everything runs in the EU (Ireland). An independent security assessment (CASA) was completed in October 2026, and Google verified RapidMailSync's access to Gmail the same month. The security overview has the details.
How do I export or delete my data?
On the Account page in the app, without contacting anyone. Export my data downloads what RapidMailSync holds about you as a JSON file. Delete my account destroys the stored passwords and the Gmail authorisation and removes every mailbox and your account; you get a receipt page you can check afterwards. Mail already imported into Gmail stays in Gmail, and nothing is deleted from your mailboxes. You can also ask for deletion at privacy@rapidmailsync.com.
